The Public Affairs team coordinates the representation of economiesuisse in Federal Bern and Brussels. In this position, you will have the chance to be part of a dynamic and highly committed team that wants to shape and move things.
For our location in Bern, we are looking for a strong organizational assistant (m/f) who supports our team in a dynamic work environment, keeps an overview, sets priorities, and implements tasks in a solution-oriented and structured manner.
You will fulfill several functions for our hub in Bern. You will not only take care of the administrative matters of the office and welcome our guests, but you will also be responsible for the smooth running of meetings and take on tasks in professional and personal assistance.
Your Tasks
Professional and personal assistance to the Head of Public Affairs, particularly scheduling, correspondence, clarifications, and minor research
Independent organization, coordination, and execution of political events, meetings, and networking occasions, from invitations and participant management to on-site support and follow-up
Organization and ensuring the smooth operation of the Bern office, including mail, telephone, material management, and meeting room management
Professional reception and care of guests, coordination with property management, subtenants, external service providers, locations, and catering partners
Maintenance and management of SharePoint storage, shared mailboxes, address distributions, and political contact lists
Administrative support for parliamentary and political activities/projects as well as monitoring relevant personnel changes and collaboration with internal and external stakeholders
Appointment, pending, and planning management for the team as well as coordination of team meetings
Preliminary accounting, particularly invoice verification, and re-invoicing
What You Bring
Commercial employee EFZ or equivalent training, supplemented by experience in assistance or a comparable role
Experience with editorial work, confident expression in German, good knowledge of French
Good MS Office skills, knowledge of newsletter tools and CRM is an advantage
Organizational talent, flexibility, and a goal- and solution-oriented way of thinking and working
You are willing to reliably cover reception during office hours; no possibility for home office
