Your contribution

• Proactively support the Director and the Head of the Directorate Staff, as well as coordinate appointments, files, and deadlines

• Prepare and follow up on meetings of the management, document decisions, and track pending items

• Organize and accompany exams, workshops, and conferences

• Manage business and documents in Acta Nova and use M365 for collaboration and task coordination

• Coordinate administrative tasks related to revisions, reporting, surveys, and contracts

• Participate in projects and pragmatically further develop administrative processes and digital templates

What makes you unique

• Commercial education and several years of experience in a demanding assistant role; job-related further training is an advantage

• Very good knowledge of M365 and experience with electronic business management, ideally Acta Nova

• Strong organizational talent, high independence, and secure prioritization – even with parallel or short-term tasks

• Confident expression in spoken and written communication as well as experience in protocol writing

• Engaging and appropriate demeanor, and enjoyment in collaborating with various stakeholders

• Very good active knowledge of two official languages; knowledge of a third official language and English is an advantage
